What the information on the dashboard shows

When you open the dashboard you will see:

  • If any Schedule of Adjustments (SoA) requires reviewing, this will be stated in a blue box at the top of the dashboard
  • If you have read the SoA then the date will be indicated in the ‘read by me column’ if you haven’t it will say ‘never’ and should be at the top.
  • If another person in the Library Team has read the SoA then the date will be indicated in the ‘read by group column’ if nobody else has, it will say ‘never’.
  • If nobody in the Library Team has read that SoA (including you) then the bullet at the left of the line will be solid blue
  • If you have read it, the bullet will be a grey circle.
  • If another member of the Library team has read it but you haven’t, it will be a blue dot in a blue circle
  • The version of the SoA will be indicated by the v# in the schedule column

What the different tabs on the dashboard mean

  • Pending:  These are all the SoAs that still need to be viewed and marked as reviewed by a member of the Library Team (with CoA access).
  • Current: These are current SoAs that have been reviewed by a member of the Library Team.
  • Inactive: These are schedules that no longer meet the criteria for the Library. The student may still have a SoA but no longer need library adjustments. They'll drop off this list after 30 days.
  • Closed: These are schedules that have been closed with no new schedule created.  For example a student with a temporary injury that no longer requires support.  They'll drop off this list after 30 days.

How to open and view a student's full Schedule of Adjustments (SoA)

To open a SoA, click on the ‘schedule v#’ or ‘open’.

You will see the full schedule.  Additionally, you will have information on:

  • The version of the schedule
  • If the schedule is new or updated
  • When it was created and by whom
  • The date it was published and by whom
  • If there is a review date for the schedule (normally in place for temporary injuries)

There will also be a summary of any new, updated, or removed adjustment at the top in a blue box.

As you scroll down you can see each adjustment in detail and at the bottom will be a list of any removed adjustments.

How to create notes and flag schedules for members of your team

To the right of an open SoA you will see a window that allows you to record notes for the Exams team. For example, you may want to record that you have started an action against this SoA.

If you don’t want to mark the SoA as reviewed, you can click ‘return to inbox’.  This will ensure that the SoA remains in the ‘pending’ tab.

If you are happy with this SoA and feel no further work need to be done by you, you can click ‘mark as reviewed’ and the SoA will shift to the ‘current’ tab.

How to view historical versions of a schedule

You can view historical versions of a student’s SoA by accessing their record in the Student Hub on EUCLID. You can access this either by looking the student up via the search options in the Student Hub or by clicking on the matriculation number under the student’s name on the CoA dashboard.

Here you will be able to:

  • View the full SoA
  • See which staff members have access to the SoA
  • See historic versions of the SoA

To view the full historic versions, click on the v#

Notifications

The Library Team will not receive notifications as new exam SoAs are added.  It is expected that the Library Team should regularly check this dashboard/inbox.  Any unread items are flagged so it should be easy for the Team to see those SoAs they have not yet seen.
