Recording study packages

View guidance on adding, editing and maintaining disability support packages for students within the EUCLID student hub.

Introduction

Once a study package has been agreed between the Disability Advisor and the student via the 'Needs Assessment Report', you, as the Advisor can create the study package for approval within EUCLID.

Proposed study packages can be updated, so any changes to funding that arise, or changes in Support Assistant personnel can be easily edited.

Study packages are created and edited directly within the student's record within EUCLID, retrieved via the EUCLID Student hub. Student Support requirements

You can create and edit a study package by clicking on the 'Edit' button alongside 'Requirements' within the 'Student Support' section.

This will open the 'Edit support requirements' screen.

The 'Support assessment status' is set to 'Unassessed' until you have arranged to meet with the student. This should be set to 'Assessment in progress' when you are creating the study package for sign off.

Support types required

Select the 'Support types required' from the selection list displayed.

For each support type selected you are required to complete the 'Hours required' and any relevant 'Notes'.

Click on the 'Save' button to proceed.

Edit support packages

Once you have saved the support types required for the student's study packages, you will be presented with the 'Edit support packages' screen.

A support packages needs to be created for each of the support types you have identified.

Click on the 'Add' button alongside each support type to complete these details.

Alternatively, you can exit the package creation process at this point, to return later if required, clicking on the 'Exit' button.

Add support package

Clicking on the 'Add' button alongside a support type displays the 'Add support package' screen.

The package 'Status' defaults to 'Pending', and must be manually updated to 'Applied' and 'Approved' when appropriate.

There are two mandatory fields highlighted with a red asterisk. These are the 'Funding body' and 'No. hours' fields. A value must be selected from each field before you can save the study package for the support type.

The 'No. hours' field has a counter available to record the correct hours. These can be selected up to two decimal points, in increments of .25. 

As each package identifies the funding body, the hours and Support assistant required for the support type, there may be occasions where you need to setup more than one package per support type. To help with this, the hours in total required for the support type are displayed beneath the 'No. hours' field.

The 'Support assistants' available for selection against the study package are displayed at the bottom of the 'Ass support package' screen.

The Support assistants available for the support type are displayed for selection, and one or more can be selected, and the hours of support divided between them.

Click on the 'Save' button to save the package. 

Edit support packages

Once you have saved a support package, you will be returned to the 'Edit support packages' screen.

You can edit, delete and add another package to the support types from this screen.  With any existing packages visible and displaying any unassigned hours of support for additional packages to be created for.

Support package status

You should update the 'Status' of a student's support package once the student applied for and then secured funding for the individual packages. Each support package created for each support type needs to be updated, from 'Pending', to 'Applied' and finally 'Approved.

The student can view the progress of the study packages created by you within their MyED 'Student Self-Service' channel. Image of fake student account.

Students can view the package approval status and once approved, can view the support time used after their studies have began.
