Null sit recording when a resit is taken across two academic years

Guidance on best practice for recording a null sit on a record where the resit is taken in the next academic year

In instances where a student has been a granted a null sit on a course and then is taking the resit in the following academic year, we would recommend enrolling the course again on the new academic year. This will mean that the student has full access to all of the course materials available in Learn at the time of the resit and can apply for new extensions and special circumstances, whereas they wouldn’t anymore if the enrolment was only for the previous year.

To record a null sit in this way, please:

  • Record the null sit in APT on the original enrolment as you usually would.
  • Then after Academic Rollover in August, enrol the course again for the new academic year and record the null sit here as well so that it generates the resit correctly.
  • If the student has an Exceptional Circumstances case linked to the original enrolment but their circumstances are ongoing for the next academic year, then the recommendation is that the student should submit a new EC application (if applicable) as this will be treated as a new enrolment. If they are not affected by any exceptional circumstances in the new academic year then they need not reapply.

If there are two or more enrolments for the same course on a student's record, then please be aware for Progression & Awards processing that enrolment with the current mark should be the only one included for their progression calculation, otherwise it will calculate incorrectly. ICL Students

Students on an ICL programme will be invoiced at course level and so ordinarily they should only have one enrolment per course otherwise they will be charged again.

However in these instances we would still advise on using the process above so that the Fees team can see a record of when they originally took the course, as well as the second enrolment that has been added for the resit. This means the student can be charged at the fee rate for when they originally sat the course rather than the new fee rate, which may be higher the following year when they resit.

If any issues do arise with a student that has been incorrectly charged then please ensure the Null Sit on the first enrolment is fully published in APT and then contact the Fees team at fees@ed.ac.uk.
