Student Support Assistant Timesheets

How to complete a timesheet for support provided to a disabled student.

Introduction

As a Support Assistant, you can submit your time sheet for your student support work within EUCLID. You can also view your support type details and a list of all the students to whom you have been assigned.

At the point of your involvement, the “study support package” (i.e. the type of work and allocated hours) has been set up and funding has been approved. The student and the Advisor can also view the package details, including the support type, the hours assigned and the Support Assistants involved. As the study support takes place, you will submit your time sheet and the student will review and sign this off within their MyEd 'Student Self Service' channel by the allocated deadline. Payment for the hours you have worked will be processed by the University Payroll office.

If there are any disputes about the time sheet submitted, then Disability Service staff also have access to the details to assist in resolving these.

The guidance below describes the process of using EUCLID for the above tasks.

It includes:

  • How do I review the students I have been matched with and the hours of support they have available?
  • How do I record the hours I have worked?
  • How do I view the status of entered timesheets?

How do I review the students I have been matched with and the hours of support they have available?

1. Log into EUCLID, click on the ‘Students’ tab and then ‘Manage my student support’.

2. You can view your support assistance details and submit time sheets via the 'Manage my student support' link within the EUCLID 'Students' page.

3. This will display the 'Manage my student support' screen which is split into three sections: My Details, My Students and My Hours.

4. Under "My Students" you will see all the students to whom you are matched, the number of hours support for which they have been funded, and the number of hours remaining.  The student can also see how many hours they have remaining on their MyEd page.

5. You can email the student by clicking on the blue envelope by their name.

How do I record the hours I have worked?

6. You can record the hours worked supporting a student by clicking on the 'Record hours' button within the 'My hours' section.

7. Select the student that you wish to submit the time sheet for within the 'Student support package' field. The values within the drop down menu are broken down by 'Support type' and the students that you have been assigned to you.

8. Select the appropriate student and support type you want to record against.

10. Enter the date you completed the work and the number of hours you worked.  You can only add a single instance of support for each row, so if your support assistance covers multiple dates, and multiple support types, a new row must be added for each.

11. If the student did not attend the meeting, then uncheck the ‘student attended’ box and select the appropriate option.

12. If you have more time to record for this student or another student, do not press save.  Instead, choose the appropriate student and support type in the “student support package” option in the line under the one you just entered and click ‘+ add row’.

13. Once you have entered all the hours you have worked you can submit these for student review by clicking on the 'Save' button.

14. This will return you to the 'Manage my student support' screen.

15. The Student and SDS staff will now be able to view the hours used within the study support package via EUCLID, and the student will be able to review the time sheet details and sign these off for payment.

16. For information: An email prompt will be sent to students in the approach to the payroll deadline to ask them to confirm the hours.  It will not be sent the instant you press submit.

How do I view the status of entered timesheets?

17. At the bottom of your ‘Manage My Student Support’ page you will see all previously entered timesheets and the status they are in in regards to student confirmation and submission to payroll.

18. If you click on the timesheet number link, you can see the details of the timesheet.
