Guidance for Course Organisers and Course Secretaries on using the Course Adjustment Breakdown screen. Coordinators of Adjustments are also able to access this screen. This guidance covers: How to access the Course Adjustment Breakdown screen How to select your individual courses How to view adjustments required for your courses How to view the Learning & Teaching (L&T) Summary How to share a L&T Summary with teaching staff How to give teaching staff access to a L&T summary in EUCLID How to view and send/print a PDF of the L&T summary Notifications How to access the Course Adjustment Breakdown (CAB) screen Course Organisers (CO) and Course Secretaries (CS) will automatically gain access to this screen due to the relationship between their role and courses already established in EUCLID. CO/CS will receive a daily summary of any new, updated or removed Schedule of Adjustments on their courses. Log in to EUCLID Select 'Student' at the top of the screen Click on the ‘Course Adjustment breakdowns’ link under the 'Maintain Students' section. How to select your individual courses All courses you are associated with should be listed in a drop-down menu under the ‘My courses’ section. You will see there is also an option to select different years and instances. Some courses have multiple instances in a year taught across multiple semesters and some split visiting students/non-visiting students into separate instances. This allows you to drill into that subset of the students if required. Coordinators of Adjustments (COA) will not have a prepopulated list but can look up any course by using the ‘Lookup course’ search option. This option only shows for CoAs. Image How to view the adjustments required for your courses Once you have selected a course a summary of adjustments required for that course will be revealed below. You can either look at all the adjustments required for the course or break it down into categories and sub-categories. The adjustments in the selected categories will be revealed in the box at the right of the screen. You can see the number of students in each category or adjustment in the grey boxes. When you select a specific adjustment the students are listed in the right-hand column. Image How to view a Learning & Teaching (L&T) Summary At the bottom of the screen, there is a section regarding ‘Access’. Click on the 'Open Learning and Teaching summary' button. This will open up the summarised view of the adjustments for that course. When viewed online, the L&T summary will time out after a period of time and the following message will appear. This is to avoid a staff member inadvertently revealing sensitive information to a class by accidentally leaving the summary open on the computer that they might also be using to present to the whole class. To re-enter, click ‘Refresh page’. Image How to share a Learning & Teaching (L&T) Summary with teaching staff There are two ways to share this information with teaching staff. Grant the relevant teaching staff access to this screen on EUCLID To distribute a PDF or print out to the relevant teaching staff. Image How to grant teaching staff access to a Learning & Teaching Summary in EUCLID Click on the ‘Edit learning and teaching staff’ button. A summary screen of staff with access to this course’s L&T summary is listed. To add another, click ‘+ Add staff member’. Image Select the member of staff and their role and click ‘Save’. Image This staff member will now have a dedicated screen that links directly to their Learning and Teaching summary. Image How to view and send/print a PDF of the Learning & Teaching Summary Click on the ‘Open learning and teaching summary’ button. A new window will be opened which will show a summary of all the adjustments required for this course. This is broken down by category. The names of the students and further information are included when appropriate. Photos of the students will be included for those adjustments when knowing the student on sight is appropriate in order to enact that adjustment. Image To print the summary or make it a PDF, select ‘file’ and ‘print’ (or Ctrl + P). The created file will have a confidential watermark, a warning message about the sensitivity of the data and details of who printed the document and when. Image Notifications Course Organisers and Course Secretaries will receive a daily email summarising any changes to SoAs on their courses. This will summarise the number of new, updated or removed SoAs/students with a SoA that day. The email will not have details of the actual adjustments, the CO/CS will need to access the CAB screen to view the details.
