What we do

Our service is dedicated to the provision of an effective, working timetable for both core teaching and examinations, as well as an efficient day-to-day room booking service for the University. With a range of additional associated services that support students and staff and University strategies, the department is structured across three key operational areas Timetable Data, Estate and Examinations. These are supported by Modelling and Reporting, and Continuous Improvements teams.

Teams’ description

 

Estate

The Estate Team allocates rooms as evenly and fairly as possible, securing suitable and convenient rooming solutions for staff and students across the university community for the following:

  • Core Teaching
  • Student Societies
  • Ad hoc/ Web Room Bookings
  • Summer Schools
  • Annual core University events

 

Timetable Data

Timetable Data team work with the University’s Schools and Deanery’s to create teaching activities using the centralised Timetabling system to facilitate the production of student’s personalised timetables.

Staff also manage student’s allocations to their teaching activities as part of a daily process, in order that student timetables are kept as accurate and comprehensive as possible in line with any enrolment changes and additions on the student record system.

 

Examinations

Exams team is accountable for creation and publication of examination timetable for main and special arrangements students. Staff ensure examinations are accurately scheduled and efficiently organised. Exams team recruit and allocate invigilators, and make sure special arrangement equipment is provided to the venue. 

They are also on hand to help students with any queries they may have about exams and to organise copies of exam scripts during the examinations.

 

Modelling and Reporting

The Timetable Modelling team is responsible for providing bespoke timetable modelling and data analysis for all staff across the University. Our service aims to offer advice on timetable flexibility, data management and space optimisation to support the delivery of diverse teaching, wide student choice and University business across all campuses.

 

Continuous Improvements

Continuous Improvement team ensure Timetabling and Examination processes and systems are adopting to changing needs and expectations of students and staff. We deliver change by engaging with various groups of stakeholders to identify opportunities for improvement, gather requirements and implement those via internal or university-wide projects.

We focus Continuous Improvement Programme on three main areas of work: ‘Operational Excellence’, ‘Communication’ and ‘User Experience’. Each of the areas have a dedicated working group which include all Timetabling and Examinations team members in delivering change.

Our team also manage the wide-range of systems, applications and web-forms across Timetabling and Examinations, ensuring business and service continuity through regular maintenance and testing programmes and acting as the designated business contact with IS support and external vendors.
